Weekly Reservations & Payment Policy
Your weekly reservation is prepaid for every round.
Each week, registered league players will receive an email with a link to Gray Eagle Club’s Caddie payment app to prepay for the rounds they would like to play. Players may play as few or as many weeks as they like.
Once the transaction is complete through the Club Caddie link, the round is non-refundable but transferable—think of it like a concert ticket. You may resell it to other Geist Golf members, but there are no refunds or deferred rounds. Be sure your partners have also purchased their round.
You will receive a confirmation email once you sign up. Rounds are purchased through Gray Eagle; Geist Golf only receives the weekly paid report just before our algorithm assigns pairings. If you have questions about whether your payment went through, you must contact Gray Eagle—Geist Golf does not have visibility into individual transactions.
The night before your round, you will receive a pairing confirmation email from info@geistgolf.com confirming your payment and your assigned partners.
The day of play, you will receive an email with a link to the final teesheet (also posted on our website), which includes pairings, cart assignments, and starting holes.
If you choose not to play a given week, simply do not sign up—no need to notify Geist Golf. Please do notify your partners so they aren’t surprised when another player is added.
Gray Eagle Club members will receive a weekly sign-up code.
Player Pairings
When completing your player profile, you selected preferred partner pairings. If these change during the season, please notify Beth at info@geistgolf.com.
Paid players for the current week will be grouped according to profiles. We always play in foursomes, so if someone is missing from your group, a single player will be added.
Start Time & Shotgun Format
Play begins exactly at 6:00 p.m. on your assigned night.
We use a shotgun start, meaning all groups start at the same time on assigned holes. In some cases, multiple groups may start on the same hole (Group A first, Group B second). We play nine holes only.
If you sign up and pay by Sunday night, you are confirmed for either Wednesday or Thursday of that week. There are no refunds for prepaid weeks. If your plans change, you may sell your round to another player (our Facebook group makes this easier).
If Gray Eagle cancels play due to severe weather (typically lightning or torrential rain), you will receive a raincheck for a future week.
Day-of-Play Check-In Process
We use a seamless “direct-to-cart” check-in process—there is no in-person check-in.
On the day of play, use the emailed teesheet to find:
- Your partner names
- Cart assignment
- Starting hole
You only need to enter the clubhouse if you wish to purchase snacks or beverages. Please communicate with your partners if you have a last-minute change so they aren’t left wondering where you are.
Format of Play: Best Ball Scramble
Geist Golf plays recreational golf. We do not record scores or use scorecards like traditional stroke play.
- All players tee off from the ladies tees (red)
- The group advances to the best ball location after each shot
- This repeats until the ball is holed
The maximum number of shots per hole should never exceed the par for that hole. For example, on a par 4, the group should not exceed 8 attempts total per player, including putts.
The entire group stays together throughout the hole to ensure fast pace of play. If a hole becomes frustrating, you may abandon it and move on.
Playing Through Policy
“Playing through” is not practiced at Geist Golf.
- We all play at a similar pace. If you are a very fast, advanced player, this may not be the right group for you.
- We play a full-course scramble with groups on every hole, so advancing early only leads to waiting.
Navigating the Course (9-Hole Scramble)
Gray Eagle has two 9-hole courses, and Geist Golf uses the entire facility.
- Starting on Hole 9 → Next hole is 1, finishing on 8
- Starting on Hole 18 → Next hole is 10, finishing on 17

All communication with Geist Golf must go through info@geistgolf.com.
Please do not call, text, or send Facebook messages. This shared inbox is our single point of contact and ensures timely responses.

Rates, Carts & Course Rules
- Geist Golf discounted rate: $30 for 9 holes (cart included)
- Cart only play — walking is not allowed
- Two players per cart, no exceptions
These policies ensure consistent pace of play.
Clubhouse & Course Information
The Gray Eagle clubhouse may be under construction during the season, with some services operating out of a construction trailer.
Gray Eagle offers beverages and snacks, including alcohol. Indiana law prohibits bringing outside alcohol onto the course. You may bring your own water or snacks.
Personal Liability
Geist Golf is a social club that organizes golf rounds and social activities. All personal liability and risk remain with the individual golfer. Please be aware of your surroundings and exercise caution at all times.
Raincheck Policy
Most golfers play in light rain, wind, and cooler conditions. Rounds are only canceled for active lightning. Rainchecks are issued solely by Gray Eagle, not Geist Golf. If you are unwilling to play in inclement weather, please check the forecast before prepaying.
Lost & Found
Commonly lost items include phones, wallets, keys, and clubs. If you find an item, please return it to the clubhouse at the end of your round.
You may also email info@geistgolf.com with a photo of the item so it can be shared and quickly returned.
The 19th Hole
Most Wednesdays, we gather after golf for “19th Hole” (really the 10th!). Players golfing both Wednesday and Thursday are welcome. Locations vary week to week.
